Iris Notes Executive 2 Scanner Review
For some time, my dad and I have been searching for a way to transfer our everyday personal "scribbles" from scraps of paper to a computer--the better to remember what we have written or merely to not lose them. However, this goal has been difficult to attain because, as we have frequently been told, our writings styles most alarmingly resemble, and I quote, "chicken scratch" and "ant footprints." In other words, his is an illegible scrawl, and I write most comfortably in a size 8 font. And unfortunately, most digital pens until now were not advanced enough to accurately translate our handwriting. Then we found the IRIS Notes Executive 2 digital pen and receiver. After extensive research on the subject and in a leap of faith, we decided to try out this product.
Before anything else, I want to praise our decision as we have thus far been quite pleased with Executive 2. There is a whole host of things about this digital pen that has met--and even surpassed--our expectations. For one thing, it is relatively easy to use and has proven astonishingly accurate in transcribing our written tests. As far as our initial tests are concerned, we have had about a 90-95% accuracy rate. It has not been perfect, but we did not expect that. Also, you can manually change or fix anything in the program IRIS NotesTM Executive, either in the original scan or after it has been converted to a word-based document. And that is before you export it anywhere else.
The IRIS Notes Executive 2 comes with everything you might need. The entire package includes: a digital pen and USB receiver, 3 ink cartridges, a USB cable, another USB cable with an Apple� 30-pin connector, Software and drivers for both Windows� and Mac on CD-ROM, a P&T catalogue, a discount voucher for next purchase, and a quick user guide.
The Software:
Once you install the software from the CD, you will have three programs: IRIS NotesTM Executive, MyScript Ink Retriever, and MyScript Trainer. Of these three, only the first two are mandatory for full function. Also, note that you do not need the disk to run any of the programs, and you can load the software on multiple computers. Please note that initially you must have internet access, but once you activate the software with the code on the back of the CD holder you can run any of the programs without Internet or the CD. When installing, you get to choose which and how many languages you want to be able to convert your notes into--we don't know yet if you can change this later, so I suggest you pick all the ones your heart desires right from the get-go. And unfortunately, Latin isn't one of those choices which is a pity because that's the language I study. There are several other things I want to critique individually in this review:

1. The Pen:
The Executive 2 digital pen is designed to be able to write on any type of paper. And it does! We tested it on standard copy paper and lined paper, and it worked equally well for both. You do not need any special type of paper for the pen and receiver to work, although I would recommend using lined paper. I would also recommend writing neatly, if at all possible. Size doesn't seem to be a problem--I really do manage to fit 2-3 lines of writing in one line of paper--but neatness is a big factor. Neither my dad nor I have particularly neat handwriting. This resulted in a slight drop in conversion accuracy. I generally need to look over the converted text and make some revisions, but as aforementioned, the accuracy rate is still quite high.
Physically, contrary to its appearance, that little switch on the pen is not an on/off switch. It is simply the lock for the ink cartridge. Once you get past the unorthodox process, it is simple. The ink cartridge is placed directly down into the hole at the top of the pen. You then lock it into place with the switch. However, I wouldn't recommend pulling the cartridge too hard! That lock is about the most pathetic thing I've ever seen. Fortunately, the pen comes with a cap to prevent the cartridge from drying out or getting lost. It also comes with three ink cartridges--apparently these can be replaced from any hardware store once they run out. The pen itself is an infrared rollerball pen about .7-1.0 tip. Note: you can use the pen as a mouse when the receiver is connected to the computer and write on your notes or do other things.
On the downside, the pen is heavy and unwieldy, and it's a little difficult to write around the receiver at the top of the page without moving it, but otherwise I would say this has been a fairly successful venture. One other thing: really do keep within the 1 inch rule around the top, bottom, and sides--it will not receive those.
And remember: press hard with the pen and try to avoid making revisions. That generally results in messy marks and confusion. Stick to small adjustments or re-writings, and whatever you do, do not use subscript or superscript. Neither of those will convert easily. Also, you must use the digital pen--you can't use any other pen--the sensor is only active when pressing down with it--it can't even be another pen in close proximity with the digital pen. Believe me, we tried.
2. The Receiver:
As for the receiver, it should be noted that unlike some other digital pen models, there is no audio feature on this one. I personally did not consider this a drawback, since I wasn't in need of any such device. The receiver can store up to 100 pages of notes. However, I consider it more prudent to clear the device every five pages or so. Once downloaded to IRISNotes Executive, you can convert your notes to the language of your choice (you can also do this before downloading--merely set your profile preference). Plus, from there you can export any of the files (handwritten or converted) to Word, Adobe, or your email. The receiver operates solely with the power button. Simply hold it down for about 5 seconds to turn it on (or until the screen settles). To receive notes from the page being written on, the receiver must be attached to the top of the page. The top-center works best. You will know if it is working because a pen icon will appear on the receiver screen as you use it. Tap the power button once when you are done writing to store it in the device.
One last thing about pen and receiver both: The batteries are recharged by plugging them into a powered-on computer via the mini USB ports in the base of the pen and receiver to a USB port on the computer. Technically, the package only comes with one of these, but we found that substitutes work as well, so you can recharge both at the same time. The battery life is supposedly long enough to go up to 8 hours of continuous writing. Turn off the receiver when not in use, and I would say turn the pen off as well, but for some reason it doesn't have a battery meter. Plus, the pen still writes, of course, without the receiver being on.
3. IRIS NotesTM Executive:
You can edit in the in IRISNotes Executive program itself. Fortunately, it is relatively quick when converting notes, even our microscopic, messy ones. If you want to make changes to your handwritten copies directly, then you must use the pen as a mouse or the program's drawing materials. It is not unlike Paint in that regard. However, you can also edit any and all converted texts you make as well. You can do this like it was a Word document; I found it useful for correcting the few mistakes the conversion caused. Then it's off to a place of your choice, whether it be a save file, your email account, a pdf file, or a Word document.
You can go back and make minor revisions with the pen but don't start trying sub- or superscript with it. You'll confuse the converter.
4. MyScript Ink Retriever:
This is the program you use to actually download "the ink" from the receiver. It should start up automatically once you connect the receiver to the computer, but if it doesn't, just open it from the IRIS folder. All three programs should be in there. I created short-cut icons for all of these; it was more convenient that way.
It was a bit of a pain downloading notes from the receiver at first until I figured out how to delete the scanned pages once they were uploaded. That feature is part of MyScript Ink Retriever under Advanced Settings. There you can set Ink Retriever to delete pages on the receiver, label whatever you're uploading, and several other things. Ink Retriever is where you set your preferences: the language you want the notes to be in
5. MyScript Trainer:
Of the three, I considered this one the least useful. Not to mention the process of creating a personal profile is rather tedious. This feature took me a couple of tries and a lot of time to get working. MyScript Trainer supposedly has you use the receiver to download personal handwriting samples that they provide and you copy and then creates a personal profile to better recognize your handwriting. If you want to put forth the effort, it takes a long time. The copying alone took me the better part of 30 minutes. And then you have to go through and check all the samples to make sure they scanned correctly. All told, that's about 14 pages to check.
If you choose to utilize this feature, then I recommend you press HARD with the pen, or it might not pick it up.
You need an 80% validity to create a personal profile. Mine was about 92% the first time and 89% the second time. Then comes the profile creating. This takes awhile! Be prepared to wait up to an hour or so with the program (and the computer) not-responding for this time.
Personally, I felt this feature to be a bit extraneous. IRISNotes Executive did an excellent job of converting our various tests even without the Trainer. And to be honest, the Trainer didn't really help all that much that I noticed, but it could be different for others.
Conclusion:
The pen and receiver are actually not hard to cart around. All you really need are a flat surface, paper (preferably lined paper), the pen, and the receiver. I didn't address the Apple features because we simply do not own any Apple devices as of right now. On that note, the Executive 2 pen is capable of connecting to various Apple devices: iPad, iPhone, and iPod touches. That's what the 30-pin USB cable is for. Since we have yet to invest in any i-devices, this feature really doesn't apply to us. Why then did we get the Executive--and most expensive--version? Because it has a lot of other features we can and do use. So far, our consensus is that this is a marvelous contraption and a wise investment. Students and other people who need to take notes or just like writing on a regular basis should definitely look into getting their own digital pen.
